    GENERAL TIPS

    Below we present issues related to the workplace use rules. If you can’t find something, let us know or have a look at your contract.


    Pro tip

    Please note that due to the historical nature of the facility, some changes will require the approval of the Capital City Conservator of Monuments.


    WHAT CAN BE CHANGED IN YOUR OFFICE?

    If you relocate to another facility, the office should be restored to its original state. Any modifications should be able to be reversed.

    With a special permission, you are allowed to:

    Hang posters, pictures, signs, TVs on the walls.

    Place stickers on glass doors.

    Install hanging decorations.

    Paint walls and lay structural plaster, etc.

    Make changes to flooring.

    Make changes regarding floor outlets.

    Make changes to intercom.

    Make changes to existing office equipment.

    Make changes that cannot be undone prior to moving out.

    Make changes that are not necessary for the functionality of a given room.

    WHAT CANNOT BE DONE


    You cannot make any changes to windows, blinds or other elements of the leased space without written permission. This is especially true if the building management objects to these changes.

    Office renovation

    A little renovation? No problem! Still, you need to get the property manager’s and technical manager’s approval first. If renovation works are disruptive, for example noisy, they must be done in evening or at the weekend.


    Pro tip

    Report the renovation work to the property manager submitting an approval form. You can begin renovation work as soon as you are granted permission.


    Premises renovation

    A little renovation? No problem! Still, you need to get the property manager’s and technical manager’s approval first

    There is a special procedure for carrying out construction work, including renovations and alterations, in the building. The most important requirements are listed below. Please read the full information in the document attached to the lease agreement: “Procedure for Finishing Works in the Office Buildings of the Koszyki Office and Commercial Complex”.

    DESIGN CHANGES STEP BY STEP

    STEP 1

    The construction/detailed design documentation should be submitted to the building manager for approval. They will then submit it to the technical manager for written approval.


    STEP 2

    The tenant should select the contractor and the project manager prior to commencement of the works. They must be familiar with the principles of changing the design described in the following points. 7 working days prior to the commencement of the work, the tenant should provide the building manager with the following: contact details of the contractor and the project manager, a list of employees who will be carrying out work in the building, a liability insurance and a schedule of works. The schedule must be agreed in advance with the building manager.


    STEP 3

    The tenant and the contractor should submit to the building manager a completed work permit form together with full technical documentation.


    STEP 4

    By accepting an order to carry out work in Hala Koszyki, the Contractor undertakes to comply with a number of regulations, including those relating to health and safety at work, fire safety and adequate protection of the works. Failure to comply with them will result in the suspension of the works until the causes of the breach have been rectified.


    STEP 5

    All construction work should be carried out in accordance with the following rules:

    • Noisy and disruptive work should be carried out at times agreed with the building manager, usually after office hours or at weekends.
    • Escape routes, passages, staircases, vestibules and corridors must not be blocked.
    • The site must have its own rubbish container so as not to fill public containers; the location of the container should be agreed with the building manager, both to ensure the comfort of the construction team and to avoid inconvenience to building users.
    • People carrying out the work should only use stairs, it is also the only way to transport materials. You should protect walls, stairs and handrails from mechanical damage.

    STEP 6

    The construction work is complete when the contractor submits a written construction work completion report to the building manager.


    STEP 7

    After the report has been submitted, the final acceptance of the works is carried out by the building’s technical manager or a member of the technical department authorised by them. The technical department will also issue a final work acceptance report.

    Common areas

    Freedom in your own home!. Still, not where employees of different companies meet. Apart from the examples given in the branding section, you must not display any signs, information, flags, posters, adverts etc. in common areas. This applies to windows, doors, corridors and other shared parts of the building unless you are given special permission. To get it, make sure that everything you want to put in common areas is unobtrusive and fits in with the surroundings.
